Event/Application Rules and Regulations
SHOW CONTRACT POLICIES
All exhibitors will be required to fill out and return a show contract to the Chamber Office by the requested date. All exhibitors who fail to do this will be considered as non-participation for that year.

All UP Fund members will be automatically issued a contract.

No “Non-Profit” organization, club, business, and/or individual shall be issued a show contract.

All contracts must be accompanied with payment in full for booth space(s).

Booth space(s) fee will be refunded if the Chamber is notified of cancellation by two (2) weeks prior to opening show date.

Contract priority classification: 1) UP Fund members, 2) local Grant County Chamber of Commerce members, 3) area Grant County Chamber of Commerce members, and 4) local or area non Grant County Chamber of Commerce members.

Any Grant County Chamber of Commerce member can "bump" any non Grant County Chamber of Commerce member participant(s) in the same business and/or service. Request to "bump" must be made two (2)weeks prior to opening show date.

Each Food Exhibitor will meet a February 28th deadline for contract and must provide proof of their KDHE food service license.


BOOTH POLICIES

1. Booth(s) placement will be strictly left to the discretion of the Spring Fling Committee.
2. Two (2) 3’x 8’ tables and two (2) folding chairs will be placed in each booth area during set up. Additional tables and chairs are available upon request without cost. All display materials are to be provided by the exhibitor. All tables are to be covered.
3. No nails, tape, pins, or thumbtacks may be used in setting up displays in connection with partitions, floors, walls, or ceiling.
4. No sub-leasing of booth space(s) is allowed. The booth/booths will be for the sole use of the business leasing the space. No other business/product will be promoted within the booth space.
5. No water gun(s) or balloon(s) may be sold at the show. Balloons given away should be filled with helium or air. All helium bottle(s) must be chained to an up-right structure.
6. Each display is to be manned throughout the public show hours.
7. Exhibitors are responsible for cleaning and preparing their display area prior to each show day.
8. All exhibitors must remain in place until the official closing time of the show day.
9. Booths must be in place and ready for public display by 4:00 p.m. on Friday, the opening show day. Booth set up may take place from 2:00 p.m. to 6:00 p.m. on Thursday and/or 8:00 a.m. to 4:00 p.m. on Friday. Special arrangements may be made through the Chamber.
10. At the end of the Sunday public show hours, general tear down and clean up will begin. All exhibitors are asked to help with the general tear down and clean up.
11. All food booths will be located in the Lawson Room.. Any and all use of the kitchen and kitchen utensils must have prior approval of Spring Fling committee. Submit your needs to the Chamber Director in writing not later than 10 days prior to show.



ELECTRICAL OUTLET POLICIES

All electrical outlet needs must be on the show contract.

Exhibitors are responsible for their own electrical cords.
ALL ELECTRICAL CORDS MUST MEET THE
APPROVED FIRE CODE STANDARDS.

Electrical outlets are available to an area, not to each individual booth.
Exhibitors will need an electrical cord to get electricity to their booth(s).

All food booth exhibitors need to check with the Fairgrounds Maintenance Director about electrical needs in addition to having information on the contract.




GENERAL SHOW POLICIES

The Spring Fling is strictly a "FOR PROFIT BUSINESS TRADE SHOW”. No non-profit organization(s), club(s), business(es), and/or individual(s) shall be allowed to sell merchandise or tickets or collect donations in any or all booths or facilities of the Spring Fling show.

All exhibitors are encouraged to use show themes in their display(s).

Recognition will be given for show display. Traveling trophies will be given for first (1st), second (2nd), and third (3rd) places in booth design, theme adherence, originality, and public relations.

All exhibitors are responsible for their own insurance on all items. The Spring Fling Committee and/or the Grant County Chamber of Commerce take no responsibility for any merchandise, equipment, or items belonging to any exhibitor(s).

One security guard and/or Spring Fling Committee Member(s) will be on the property from 6:00 p.m. on Friday until 4:00 p.m. on Sunday.

Doors for "Exhibitors Only" will be open one hour prior to each show day opening hour. All exhibitors and their staff members must wear exhibitor badges to be allowed into the show prior to open show hours. All exhibitors are to provide a list of names of people who will be working in the booth(s) to the Chamber by 5:00 p.m. on Wednesday prior to the show date. Badges will be available at the Chamber Information Booth. Exhibitors are responsible for returning all badges to the Chamber Information Booth by final closing time. Exhibitors trailers are not to be parked by the door, they need to be parked at the north edge of the parking lot.

One or more persons from each exhibitor may be assigned to assist with group duties during the show. Exhibitors are responsible for finding someone to complete assigned task if unable to perform it themselves.

Each exhibitor is responsible for collecting and paying the Kansas State Usage tax. Each exhibitor shall have a Kansas Tax ID #.
